Sharing Canva Files

How many times have you shared a file in Canva for someone to use as a “template” only to have them edit your original file?

As the person receiving the file, it’s easy to forget that any changes you make to the file can be seen by the owner. That’s fine when the owner is expecting you to make updates, not so fine when they want to keep their original document.

As the owner of the document, next time try this:

  • On the Home page in Canva, click the 3 dots on the document you want to share.

  • Click Share

  • Scroll down to Access Level

  • Click “Anyone with the Link” and choose “View Only

    • Alternatively, type the person’s email and then choose “View Only”

Now they won’t be able to change your document, but they will have the option to make a copy in their Canva account and make changes to their copy only.

As the recipient of the shared document, try this:

  • After opening the document, click “File

  • Scroll down to “Make a Copy

  • Now the right top says “Copy of [name of document]” and you are free to make changes and not affect anyone else’s document
